The right IT provider should make your organisation more resilient and easier to run. The wrong one can leave you with slow support, unclear ownership and risks nobody is actively managing. Price matters, but it is only useful when you understand what is included and who remains accountable.
Start with the outcome you need
Write down your current problems and the result you expect. That might be faster support, clearer cyber security, reliable remote working, help for an internal IT team or a complete managed service. Include your sites, users, critical systems, compliance needs and growth plans.
Seven questions to ask every provider
- What is actually managed? Ask what is monitored, patched, backed up and reviewed proactively.
- Who owns an issue? Good providers coordinate third parties instead of sending you between suppliers.
- How is support measured? Request response targets, escalation routes and meaningful service reporting.
- How is security built in? Look for multifactor authentication, least privilege, endpoint protection, patching and tested incident processes.
- How is resilience proved? Ask how backups are monitored, how often restores are tested and what happens during an outage.
- Who can advise the business? You need planning and prioritisation, not just a helpdesk.
- How will we leave? Contracts should explain data ownership, documentation, notice periods and offboarding.
Evidence worth requesting
- A sample onboarding plan and asset-discovery process.
- A clear service schedule showing inclusions and exclusions.
- Security certifications or independent assurance relevant to the service.
- An example service report with risks, recommendations and actions.
- References from organisations with similar size or complexity.
- Proof of professional indemnity and cyber insurance where appropriate.
Warning signs
Be cautious when a provider promises everything without discovery, relies entirely on one individual, cannot explain its security controls, avoids discussing recovery, or quotes a low price without defining the service. Unlimited support is not valuable if requests remain unresolved.
Compare value, not just monthly cost
Normalise each quote against the same requirements. Include onboarding, projects, licences, out-of-hours support, security, backup, hardware management and strategic reviews. Then assess the operational risk of what is missing.
